AI automation without replacing your software: email, ERP and API integration
2 min read
The most common fear before an automation project is having to replace the management software, change the whole team's habits and learn yet another tool. That is not how it works: useful automation plugs into the tools you already have.
The problem is not the software, it is the work between one software and the next
In almost every company the systems are already there: a shared mailbox, a ticketing system, management software or an ERP. Manual work is born in the gaps between them: reading the email, opening the attachment, copying the data into the system, replying to the customer, alerting a colleague.
It is precisely this hand-over work that automation removes. The tools stay the same.
Reading from where the data arrives
The first connection is inbound: the shared mailbox, corporate aliases, the ticketing system, web forms. The automation connects to these sources, collects every message and every attachment (PDFs, spreadsheets, CSVs) and brings it into the processing flow.
No need to change email addresses or ask customers to use a new portal: requests keep arriving where they arrive today.
Writing to where the data is needed
The second connection is outbound. Once extracted and validated, the data is written to the systems that need it through APIs and webhooks: the order line in the management software, the ERP sync, the quote generated and sent, the forward to the right department.
If a system does not expose modern APIs, integration paths still exist (exports, databases, exchange files) and are assessed case by case during the initial analysis.
Human approval in the middle
Between reading and writing sits the checkpoint. High-confidence cases proceed on their own; critical or uncertain ones stop in a dashboard where a person approves, corrects or rejects in one click. Every decision is recorded.
This is what makes integration acceptable to whoever is accountable for the data: automation speeds things up, it does not bypass anyone.
Where to start
The time needed depends on volumes, formats and the number of systems to connect, so there is no answer that fits everyone. The starting point that works is one real flow, from the request arriving to the write into the final system.
The first step is a 30-minute session where we look at that flow together, with your emails and your documents, to work out which part can be automated straight away and which cannot.
